SMALL BUSINESS NETWORKING
Great coffee. Comfortable seats. Wi-Fi that keeps up.
Build a café network around three priorities: reliable coverage, separate guest access, and simple day-to-day management.
A busy café runs on more than great coffee. Your customers may be checking email, your staff may be using cloud-based tools, and your checkout may depend on a connected POS system—all at the same time. A well-planned network helps these everyday activities work together without turning Wi-Fi troubleshooting into another job for your team.
This guide explains how to plan café Wi-Fi, separate customer access from business devices, and choose the right mix of HPE Networking Instant On access points, switches, and gateways.

OUR STARTING PICK
1930 PoE Switch + Two AP22 Access Points
A practical starting kit for a café with separate indoor zones. Add an AP27 for a patio, or evaluate AP25 as an indoor alternative for a busier space.

Before choosing equipment, think about how your network is used when the shop is full. Count connected devices—not just seats. One customer might bring a phone and a laptop, while your business may also use payment terminals, printers, staff tablets, cameras, or a digital menu.
- Map your space: Include the counter, main seating area, back room, and patio.
- Estimate peak demand: Consider browsing, video calls, streaming, and business applications.
- Check your internet service: Wi-Fi hardware cannot make your internet connection faster than the service available from your provider.
- Identify obstacles: Walls, metal shelving, refrigeration equipment, and the layout can affect wireless coverage.
Test your current connection near the router and at your busiest seating areas. This helps distinguish an internet-service bottleneck from a coverage problem.
2. Give Customers and Business Devices Separate Access
Sharing one Wi-Fi password between customers and staff is convenient at first, but it makes access harder to control as the café grows.
HPE Networking Instant On supports employee and guest wireless networks. Its guest network access settings can restrict guests to internet access and prevent access to internal network resources. Review these settings during setup rather than assuming that a different network name alone creates the separation you need.
| Network | Typical devices | Planning goal |
|---|---|---|
| Guest Wi-Fi | Customer phones and laptops | Internet access with restrictions on internal resources |
| Staff network | Staff tablets and business computers | Controlled access for daily operations |
| POS and other business equipment | Payment terminals and compatible printers | Appropriate segmentation and connectivity based on vendor requirements |
For POS devices, follow your payment provider’s networking requirements. Guest separation is one useful control; it does not replace the security configuration required for your payment system.
3. Three Product Picks, Three Different Needs
THE INDOOR STARTING KIT
1930 8-Port PoE Switch + 2 × AP22
Pairs the JL681A#ABA switch with two R4W01A Wi-Fi 6 access points. Consider it for separate counter and seating zones, with wired connections and PoE power for compatible APs.
A compact open café may need only one AP initially. Confirm placement and quantity through coverage testing; more APs are not automatically better.

AP27 Outdoor Wi-Fi 6 Access Point
Choose S1T36A when your patio needs its own wireless coverage. Plan suitable mounting, Ethernet cabling, compatible PoE power, and outdoor installation materials.

AP25 Indoor Wi-Fi 6 Access Point
Evaluate the 4×4 AP25 (R9B27A) for a higher-capacity indoor design. It is an alternative to the AP22 selection, rather than a required extra. Confirm PoE and uplink requirements before choosing a switch.
Explore the AP25 →4. Use PoE to Simplify Installation
Power over Ethernet, or PoE, can deliver power and data over the same Ethernet cable to a compatible access point. This gives you more flexibility to place an AP where coverage is needed instead of next to a power outlet.
When selecting a switch, check both the number of PoE ports and the total power budget. Add up the power requirements of your planned devices, confirm the required PoE standard for each one, and leave room for expansion. A switch with enough ports may still have insufficient power for every device.

5. Build a Practical Starting Setup
A typical café network may include an internet connection, a router or gateway, a PoE switch, and one or more access points. The gateway handles the connection between networks, the switch connects wired equipment, and the APs provide Wi-Fi.
Our selected indoor starting kit is AAAWave’s Instant On 1930 8-Port PoE Switch and Two AP22 Access Points bundle. It brings together wired connectivity and two indoor Wi-Fi access points, which may suit a café with distinct seating zones.
The bundle is a starting hardware option, not a complete installation: confirm your router or gateway, Ethernet cabling, mounting needs, internet service, and configuration. Check the exact SKU for included power supplies and accessories.
6. Test Before the Morning Rush
Once installed, test from the counter, farthest seating area, and outdoor space if applicable. Verify that customers can reach the internet without accessing internal resources, and check that staff devices and POS equipment function as intended.
Instant On offers mobile app and web-based management, helping you monitor the network and review connected devices. Test under realistic busy-hour conditions, keep firmware current, and use strong administrator credentials.
Before You Open: A Quick Checklist
- Test Wi-Fi at the counter, farthest seats, and patio.
- Check that guest devices cannot reach internal resources.
- Verify POS and printer operation with your provider’s requirements.
- Confirm PoE capacity, firmware updates, and admin access.
